Full Time Receptionist - Weybridge

Ward Williams is a progressive firm based in Weybridge, Uxbridge and Sunninghill providing wide ranging business solutions for small and medium sized businesses. We are dedicated to delivering an exceptional service that will contribute towards our client’s business success. As a medium sized accountancy firm, we provide a wide range of services including audit and accounts, tax compliance, tax planning, payroll, financial planning, HR and company secretarial.

We are looking to recruit a Receptionist for our Head office in Weybridge.  The role will be reporting directly to the Reception Supervisor.

The main part of this role is answering the telephones for the group including all office locations using the in house computerised system.

Duties include but are not limited to –

  • Meeting and greeting clients on arrival, offering and making refreshments, arranging car parking, meeting rooms etc.
  • Diary Management using Outlook
  • Ensuring that the meeting rooms are 'refreshed’ after each meeting, and the reception area is tidy at all times.
  • Every morning, checking both floors have sufficient water, milk, tea and coffee for the day. Ordering more as and when required.
  • Incoming post to be opened, sorted, scanned and distributed in a timely fashion.
  • Outgoing post from both floors to be collected, packaged, franked and ready to be collect by Royal Mail.
  • Keeping a log of new clients and preparing new client forms for the department head. Updating our central database with key information of the clients.
  • Drafting new client engagement letters for department heads, following up when not returned by either the department head or the client and updating the spreadsheet as such.
  • Checking that the group has enough stationery to use for the week. Ordering of stationery, both corporate and every day, via a purchase order system for the group.
  • Other ad hoc duties projects as and when they occur for the group of companies.

Ideally you will have self-motivation and a flexible attitude with the ability to get on with all types of people.

To be considered, candidates must show immaculate presentation and have an excellent telephone manner.

Be strong in Microsoft office, including outlook, excel and word.

The candidate must understand the true importance of offering a first class service at all times.


  • Full time position Monday to Friday 8.00am – 5.30pm (Split into rota shifts 8.00am – 5.00pm or 8.30am – 5.30pm) with 1 hour for lunch
  • Holiday: 22 days, plus 8 bank holidays
